1.Fees & Payments
1.1 Stall Fees
- Full payment must be made prior to the event date to secure the right to trade.
- Non-payment will result in the cancellation of the stall booking without notice.
2.Trading Days & Hours
2.1 Trading Schedule
- Access to Site: 3:00 PM
- Doors Open & Trading Starts: 5:00 PM
- Trading Ends: 9:00 PM
- Venue to be Vacated by: 9:30 PM
2.2 Mandatory Attendance
- Stallholders must conduct business throughout the event trading hours.
- Late setup or early departure is not permitted without prior approval.
3.Stallholder Responsibilities & Use of Space
3.1 Temporary Licence
- The stall space is granted on a temporary licence basis only.
- Light Upon Light reserves the right to revoke or modify a stallholder’s space at any time without compensation.
3.2 Venue & Stall Positioning
- Stall space allocation is at the sole discretion of Light Upon Light and may be adjusted if required.
- Stallholders must ensure their entire setup, including guide ropes, displays, and attachments, fits within the allocated space.
- Stallholders cannot swap or move their allocated space without written permission from Light Upon Light.
3.3 Use of Stall
- Stallholders may only sell or advertise products/services that they originally described in their application.
- Other stalls may sell similar products unless exclusivity rights have been granted in writing.
- All products must comply with UK safety and compliance regulations.
- The sale of prohibited, harmful, or offensive items is strictly forbidden, including but not limited to:
- Weapons (Pellet guns, air rifles, knives, swords)
- Counterfeit, stolen, or illegal goods
- Obscene or offensive materials
4.Stall Equipment & Facilities
4.1 Provided Equipment
- One 6ft x 2ft table and two chairs per stall will be provided.
- No additional furniture, gazebos, or weather protection will be provided.
4.2 Power & Payments
- No electricity will be available at the venue (No plug sockets).
- Stallholders must bring their own power sources (if required).
- If using card machines, stallholders must ensure they have their own working internet connection.
4.3 Health & Safety
- Stallholders must ensure that all equipment meets health & safety regulations.
- Fire hazards or unsafe setups will not be permitted.
5.Conduct, Behaviour & Dress Code
5.1 Behaviour & Professionalism
- Light Upon Light aims to provide a pleasant event experience for all attendees.
- Any stallholder displaying disrespectful, unprofessional, or disruptive behaviour towards staff, attendees, or other vendors will be asked to leave immediately without refund.
5.2 Dress Code & Islamic Conduct
- As an Islamic event, all stallholders are expected to dress and behave modestly, in accordance with the values and etiquette expected in a Muslim environment.
- This includes:
- Wearing appropriate clothing that reflects professionalism and modesty.
- Conducting business with respect, integrity, and good manners towards all attendees.
- Avoiding loud, inappropriate, or disruptive behaviour that could affect the event atmosphere.
5.3 Clean & Tidy Condition
- Stalls must be kept clean and tidy at all times.
- All waste, packaging, and leftover materials must be removed by the stallholder before vacating the venue.
6.Subletting & Sharing
6.1 No Unauthorised Subletting
- Stallholders cannot sublet or share their allocated space without prior written approval from Light Upon Light.
7.Cancellations & Refunds
7.1 No Refund Policy
- All stall bookings are non-refundable under any circumstances.
7.2 Replacements & Transfers
- If a stallholder is unable to attend, they may nominate a like-for-like replacement stallholder.
- Minimum 5 days’ notice is required with full details of the replacement stallholder submitted in writing for approval.
8.Risk, Liability & Disclaimer
8.1 No Guarantee of Sales or Success
- Light Upon Light is not responsible for the success of any stallholder’s business.
- Attendance at the event is at the sole risk of the stallholder, and Light Upon Light makes no guarantees regarding footfall, engagement, or sales.
8.2 Loss, Damage & Theft
- Light Upon Light accepts no liability for loss, theft, or damage to any stallholder’s goods, cash, equipment, or personal belongings.
- Stallholders must ensure they have appropriate insurance for their goods and business operations.
8.3 Force Majeure & Event Changes
- Light Upon Light reserves the right to cancel or change the event details due to unforeseen circumstances, including weather, venue availability, or safety concerns.
- No compensation or refund will be provided in the case of event modifications outside of Light Upon Light’s control.
8.4 Communications
- Stallholders will be added to a WhatsApp group chat for all event-related updates and communications.
- By participating in the event, stallholders agree to their contact number being shared within this group for coordination purposes.
- This group will be used for important announcements, logistics updates, and support before, during, and after the event.
9.Acknowledgment & Agreement
By paying for a stall, the stallholder acknowledges and agrees to comply with these Terms & Conditions.
Light Upon Light reserves the right to update these terms at any time without prior notice.
